E-mail archiving is the process of storing e-mail messages in an independent network storage resource for the purposes of knowledge retention and enhanced mail-server performance. E-mail archiving is “Storage Management for E-mail”.

Specifically, better storage management gives corporate messaging systems of any size, two very important features - streamlined e-mail administration and compliance with retention regulations and policies. The NorthSeas Guard E/N is the industries first e-mail archiving appliance to address equally the need for both better email administration and compliance.

The NorthSeas Guard E/N:



CaptureCaptures all of an organizations incoming, outgoing and internal e-mail messages.

Messages are archived (stored) in any network storage system the customer designates as its corporate message repository - the CMS/Archive™

Messages are stored in an Internet-standard RFC822 file format, the most compliant of e-mail standards

Message metadata is captured in a user-accessible Archive Index.

A Message Map of each e-mail is stored in the Index to make previewing messages faster and easier

Captured messages cannot be modified or deleted by users
  Search and ReplayAll the software needed to search, list, view and retrieve archived messages (as well as capturing them) is contained in the Guard E/N appliance

Messages retrieved from the CMS/Archive™ are replayed – individually or in bulk - through the existing e-mail system to the users inbox

Users are restricted from accessing other users archived messages and can only replay to their own in inbox

Users access the Search and Replay™ tool using familiar desktop tools like Outlook or standard web browsers

Preview messages before retrieving

Search criteria includes Received; Sent; Date; Sender; Recipient; Subject field; Existence of attachment; Importance; Size of message

The CMS/Archive™ serves three valuable functions – as a central corporate archive; a virtual message store for users; and, a staging area of e-mail content for integrating into other corporate systems
SecurityRecipient Authentication – verifies that the address in the To: field on an incoming message matches a registered mailbox or rejects the message

Sender Authentication – verifies that the address in the From: field is a valid mailbox or rejects the message

Blacklist Lookup – verifies that the sending domain is not listed on a number of specified spammer blacklists or rejects the message

Reverse IP look-up - Verifies that the sending domain name of an incoming message maps to a valid IP address, and that the domain has a properly configured mail-server IP address in its MX record

Spammer Tar-pitting - introduces inbound processing delays when a pre-determine number of consecutive messages are received from the same sender that are not addressed to registered users, causing spammers to move on

Blocks dangerous HTML tags when previewing archived messages
  AdministrationAn appliance solution that requires little or no maintenance

Supports all versions of Microsoft Exchange, Lotus Notes, Groupwise, Unix Mail and all other messaging applications

No third-party software or application integration required to deploy

E-mail administrators can significantly reduce mailbox limits while providing users with virtually unlimited storage

An automatic replicate of e-mail is created by the Guard E/N which eliminates the need to back up the mail-server message store

Archive Threshold Alerts – notifies administrators when pre-set archive level has been reached to prevent exceeding storage capacity

Archive/Index synchronization – scans the archive every 15 minutes and updates the index to reflect archive changes. (Useful in multi-Guard E/N deployments or when pruning the archive.)

Move and/or prune the archive without jeopardizing Search and Reply™ functionality

NTP Server - Ensures clock accuracy so that times reported for messages are dependable and unalterable
